Speaker Briefing Notes

In order to ensure that your presentation runs smoothly, a number of services and facilities will be provided for you. Please take the time to read the following instructions to ensure your presentation is successful.

SPEAKER PREPARATION ROOM

The Speaker Preparation Room will be located in Room 1, Level 1, Hilton Sydney. You must report to the Speaker Preparation Room with your presentation on CD-Rom or USB Memory Stick at least 3 hours prior to your presentation. Alternatively, you may bring your own laptop to the Speaker Preparation Room and the onsite technicians will be able to copy your file.

Should your presentation be in a MAC format we suggest that you convert this to a Windows format or PDF file. If this is not possible there will be one MAC computer available in the Speaker Preparation Room for editing/conversion only.

A technician will be available to upload presentations, which will be pre-linked so that session Chairs can quickly and easily bring them up in order to keep the program on time.

AUDIO VISUAL EQUIPMENT

Each session room at the AES 2011 Conference will be equipped with the following audio visual equipment:

• One data projector
• One screen
• One PC computer with Microsoft PowerPoint
• Lectern and microphone

Overhead and 35 mm Slide Projection will not be available at the Conference.

SPEAKER PROCEDURES

There will be an AV technician in constant attendance at the venue. Following is a brief explanation of the audiovisual procedures onsite at the Conference:

• Please be in your allocated session room 10 - 15 minutes before the start of your session to meet with your Chairperson and check in with the technician regarding sound and AV questions. The PC computer will be on a side table next to the lectern. Please familiarise yourself with this equipment prior to your presentation.
• Microphones will be on all the time. There is no need to switch them on.
• In the unlikely event of a problem, a technician will attend and rectify it as promptly as possible.
• The Chairperson will time your presentation. Please ensure that you keep to the program timetable:
• Paper presenters are allowed 20 minutes for presentations and 5 minutes for questions.
• Roundtable presenters are allowed 25 minutes for presentations.
• Mini workshop presenters are allowed 55 minutes for presentations.
• Symposium presenters are allowed 40 minutes for symposiums and 20 minutes for discussion.

The last 5 minutes of each session that is not followed by a break, is allocated to allow delegates to change breakout rooms if they are not staying for the next speaker
